Outdoor event scenario

Harriet is the owner of a clothing company which makes the majority of their sales at sporting events around the country. Harriet has always accepted payment for goods by cash and credit card. However, she had no way of accurately recording what she was selling, because any cash taken would simply be placed into a cash box and credit card sales would be sent through to the bank separately.

Harriet noted that by adopting the PINPOS mobile solution she would not only be able to record every cash and credit card sale that was made, she would also be able to reconcile everything that she had sold at the end of every trading period. This was a compelling business case for Harriet, due to the non-permanent nature of her sales staff and issues with shrinkage.

8:30am Harriet sets up her stall and downloads all the product information relevant for that day to each of her PINPOS mobile devices. She then arms each of her five Sales Assistants with a PINPOS mobile device, a belt mounted printer, a shoulder holster and a cash belt with float. Each Sales Assistant logs onto their device ready to commence trading.
9:00am onwards
  1. Customer hands goods to Sales Assistant.
  2. Sales assistant scans the product or finds the product through the touch screen interface.
  3. Sales Assistant enquires as to how the customer would like to pay for the product.
    • Credit card - card is inserted into the PINpad and customer is asked to enter their PIN, the sum is authorised and the transaction is complete.
    • Cash - Sales Assistant records the cash received and is advised how much change to give.
    • Other payment method - such as foreign currency, voucher, travellers cheque, or promotion.
  4. Once the transaction is completed, the sales data is sent to back office systems on the spot (via WiFi / GPRS) or batched until a connection is made available (USB / Serial).
Periodically the Sales Assistants deposit the cash gathered in their cash belts into a central cash drawer. Each deposit is recorded on the PINPOS mobile device and floats are reissued.
3:30pm Harriet has noticed a number of items are not selling as well as others, it is also near to the end of the day, and so she decides to offer these goods at a 25% price reduction. Harriet is able to alter the prices on all of the PINPOS mobile devices via her laptop, which pushes out updates to each device.
5:30pm The event is over, so Harriet prints reports detailing all of the sales recorded, as well as a report detailing expected stock levels. She is then able to reconcile all of her sales and investigate any discrepancies, as each Sales Assistant is identifiable by the PINPOS device used. Harriet is then able to calculate the commission her Sales Assistants have earned throughout the day. In the longer term, she is also able to run sales reports to optimise her product offering at these events, e.g. sales reports could provide key marketing information such as the most popular products, times of day and/or payment method.
